Administrative Assistant

Daily Tasks – Daily tasks will be assigned by the Administrative Supervisor or Office Manager and it is everyone’s responsibility to see that we meet all deadlines. • Answering the phone – Everyone has their own direct number and most calls go to direct numbers. The administrative team is responsible for answering two main lines. The call volume is extremely low. On average we receive one to five calls per hour. The team is made-up of three first responders (general admin) and three back-ups (Admin Supervisor, Office Manager, and System Supervisor). • Processing Incoming Mail - We are responsible for receiving all the assessment notices, tax returns, tax bills, receipts, audit letters, general correspondence, and other miscellaneous mail for 18,356 parcels. Some days we will get ten pieces and other days we will get a postal bucket. Mail must be processed within two to three days of receipt; therefore overtime might be necessary during heavy periods. Three members of the administrative team share this workload and back-up team members are available for extreme situations. Processing income mail consists of sorting by the categories previously explained, scanning, locating the mail to the corresponding parcel and linking it (electronic filing) through a document processor software (this software names the files and moves it to the correct folder), recording any necessary information in the system (i.e. parcel values) and finally putting each piece of mail in the corresponding PP or RE consultant’s mail box. • Processing Outgoing Mail - o Returns – This is sent to the admin team through the system via a quire that admin is responsible for checking through-out the day. Returns (soft copy) are done electronically and admin is responsible for print the finished soft copy return, matches is up with an original hard copy returns, printing a mailing label, packaging, mailing, and marking it as filed in a relevant tracking information (i.e. certified tracking # or FedEx #). Approved returns received by 3:00pm and deadline returns must be sent the same day. Although we try to allow plenty of time to complete returns, this could require staying late with little notice regarding overtime. o Tax Bills – Received via email in the pts system. All tax bills are grouped for email transmission in the pts system at 3:00pm. The tax bills must be emailed and marked out in the pts system the same day as they are received. Responsibilities include picking mail-up from the post office in the morning, taking mail to the post office at the end of the day, running the dishwasher, cleaning out the refrigerator, emptying coffee pots at the end of the day, wiping down the counters, watering the plants, filling the copy machines with paper, or any other necessary task. Sporadic Task • Purging Inactive Files – A team member is given a list of files to locate in the file room, remove from the file shelves, put in a box, records the files and box number in an excel spreadsheet and take to off-site storage.
